Below is a list of frequently asked questions - Click on the Question to view the Answer


If you have have the role of Scheme Manager, Proficiency Co-ordinator or are the Primary/Secondary participent of an institution then you will be allowed to delete a participant.
The process of deleting a participant is as follows:
  1. Navigate to the Participants screen.
  2. Search for the participant you wish to delete.
  3. Click on the Participant Number (P-Number) of the participant to view the participants details.
  4. On the Participant Details screen, click the Deactivate button.
  5. A Delete button will appear, click on it and confirm the delete.
  6. If the user you are trying to delete is a primary/secondary participant of an institution, you will be required to select a replacement from a list of participants from the institution.
  7. If the participant to-be-deleted is not a primary/secondary participant then he/she will be immediately deleted after you confirm, otherwise upon choosing a replacement participant you would have to click the Delete button again and confirm the delete.

To Confirm that a participant has been deleted:
  1. Navigate to the Participants screen.
  2. Enter the participants name and select the Show Deactivated option in the search criteria.
  3. Click the Filter button, If the participant does not show up in the search results then he/she has been deleted.
If you have have the role of Scheme Manager or Proficiency Co-ordinator then you will be allowed to view reports for all institutions.
The process of viewing reports for a specific institution is as follows:
  1. Navigate to the Reports screen.
  2. In the search criteria section, select the Institution you wish to view reports on.
  3. In the search criteria section, select "No" for the Only Top Level Reports option.
  4. Click the Filter button.
  5. The resulting list of reports will only display reports for the institution you have selected. The list can be filtered further by any of the other options in the search criteria section.
For administrative users:
  1. Navigate to Administration -> User Management.
  2. On the User Management screen, click on your User Id. You will be redirected to the User Details screen.
  3. Click the Edit button, you will be redirected to the Edit User screen.
  4. On this screen you can change your personal details
  5. After updating your personal details, click the Save button.

For non-administrative users:
  1. On the top red navigation bar, click on your Participant Number (P-Number). You will be redirected to the User Details screen.
  2. Click the Edit button, you will be redirected to the Edit User screen.
  3. On this screen you can change your personal details
  4. After updating your personal details, click the Save button.

For administrative users editing peronal details of non-administrative users:
  1. Navigate to the Participant screen.
  2. In the search criteria section, enter the details of the participant whose personal details you wish to change and click the Filter button.
  3. From the search results, click on the Participant Number (P-Number) of the participant whose personal details you wish to change. You will be redirected to the Participant Details screen
  4. On the Participant Details screen click the Edit button. You will be redirected to the Edit User screen.
  5. After updating the users personal details, click the Save button.
If you have have the role of Scheme Manager, Proficiency Co-ordinator or are the Primary/Secondary participent of an institution then you will be allowed to capture results on a participants behalf.
The process of capturng results on a participants behalf is as follows:
  1. Navigate to the Participants screen.
  2. In the search criteria section, enter the details of the participant you wish to capture results for and click the Filter button.
  3. From the search results, click on the Participant Number (P-Number) of the participant you wish to capture results for. You will be redirected to the Participant Details screen
  4. On the Participant Details screen click the Capture Results button. You will be redirected to the Capture Proficiency Results screen.
  5. On the Capture Proficiency Results screen select the proficiency you with to capture results for. If the are no active proficiency sets of the selected proficiency assigned to the participants institution than you will be presented with the following message: "There are no active sets , of proficiency , assigned to the intitution of participant P-Number" .
  6. If there is an active proficiency set, of the proficiency you have selected, available at the institution then you will be redirected to the Choose a Proficiency Set screen. NOTE: You are now in Impersonation Mode you will notice that the top red navigation bar is slightly greyed out and a Cancel button has appeared on it. While in Impersonation Mode you will not be able to navigate to other areas of the SANBS Proficiency System. You can cancel Impersonation Mode by clicking the Cancel button on the top red navigation bar, this will however discard the results that were being captured for the participant you were impersonating.
  7. On the Choose Proficency Set screen select the proficiency set you wish to capture results for and click the Continue button. If the participant you are impersonating has already captured results for this proficiency set you will be redirected to the Permission Error screen. If the participant has not yet captured results for the selected proficiency set, you will be redirected to the screen for capturing results for the proficiency you had previously selected.
  8. Capture the results for the proficiency and click the Continue button, confirm that the results have been captured correctly and click the Confirm and Complete "Proficiency" button.
  9. The proficiency results will be submitted and Impersonation Mode will be exited.
If you have have the role of Scheme Manager or Proficiency Co-ordinator then you will be allowed to create create reports.
The process for creating a hemocue performance report is as follows:
  1. Navigate to the Reports screen.
  2. Click the Add button under search criteria section. You will be redirected to the New Report screen.
  3. Select Hemocue Performance from the Report Type drop-down list and click Continue. You will be redirected to the New Report Details screen.
  4. On the New Report Details screen, select the Proficiency Set Batch you wish to generate the Hemocue Performance report for. You may apply any of the other filters on this screen in order to narrow down the information in the report.
  5. Once you have applied the necessary filters, click the Create Report button. You will be redirected to the Hemocue Performace Report screen.
  6. On the Hemocue Performance Report screen, you will notice under the report Details that the reports Status is "Pending Generation".
  7. Navigate to Home -> Dashboard, once the report generation has completed, the report will show up on your dashboard as Hemocue Performance - Revision x.
  8. NOTE: Even though you will be able to view the report and its sub-reports, you will not be able to approve the report. Another Scheme Manager or Proficiency Co-ordinator would have to approve your report in order for all other institutions, that took part in the Hemocue proficiency, to be able to view their respective sub-reports.
If you have have the role of Scheme Manager or Proficiency Co-ordinator then you will be allowed to order/enrol for a proficiency on an institutions behalf.
The process of ordering/enroling for a proficiency on an institutions behalf is as follows:
  1. Navigate to the Institututions screen.
  2. In the search criteria section, enter the details of the institution you wish to order/enrol for a proficiency for and click the Filter button.
  3. From the search results, click on the institution name of the institution you wish to order/enrol for a proficiency for. You will be redirected to the Institution Details screen
  4. On the Institution Details screen click the Enrolment button.
  5. If the are no primary/secondary participants at the institution than you will be presented with the following message: "There are no primary/secondary participants at this intitution" .
  6. If there is primary/secondary participant at the institution then you will be redirected to the View Order screen. NOTE: You are now in Impersonation Mode you will notice that the top red navigation bar is slightly greyed out and a Cancel button has appeared on it. While in Impersonation Mode you will not be able to navigate to other areas of the SANBS Proficiency System. You can cancel Impersonation Mode by clicking the Cancel button on the top red navigation bar, this will however discard the ordering/enrolment of the proficiency for the institution.
  7. On the View Order screen enter the the amount of sets you wish to order for each month under the proficiency you wish to make the order for and click the Save order button. NOTE: The months that have already passed this year will be greyed out as well as the proficiencies that already have orders that have been approved.
  8. Confirm that the order has been entered correctly and click the Confirm and Complete button.
  9. The order will be submitted and Impersonation Mode will be exited.
If you have have the role of Scheme Manager or Proficiency Co-ordinator then you will be allowed to move a participant to another institution.
The process of moving a participant to another institution is as follows:
  1. Navigate to the Participants screen.
  2. Search for the participant you wish to move.
  3. Click on the Participant Number (P-Number) of the participant to view the participants details.
  4. On the Participant Details screen, click the Move Institutions button.
  5. If the user you are trying to move is a primary/secondary participant of an institution, you will be required to select a replacement from a list of participants from the institution. After the participant has been replaced as the primary/secondary participant, you will have to click the Move Institutions button again.
  6. If the participant to-be-moved is not a primary/secondary participant or you have replaced him/her as the primary/secondary participant, a Move Participant To Institution panel will appear when you click the Move Institutions button.
  7. On the Move Participant To Institution panel:
    1. Select the institution you would like to move the participant to.
    2. If you want to move the participant and make him/her the primary/secondary participant of the institution, select Yes on the Make the participant the primary/secondary participant of the institution option
    3. If you have selected to make the participant to-be-moved the primary/secondary participant of the institution and that institution already has primary & secondary participant: Select the participant you wish to replace as the primary/secondary participant from the Select a primary/secondary participant to replace (this participant will become a regular participant) drop-down list
    4. Click the Move Institutions button (The Grey coloured one).
  8. You will be redirected back to the Participants screen.

To Confirm that a participant has been moved:
  1. Navigate to the Participants screen.
  2. Enter the participants name and surname, or just their email address in the search criteria. NOTE: You will not receive any search results for the participant if you search using their old Participant Number (P-Number) because their old account has been deactivated.
  3. Click the Filter button. The participant will show up in the search results, but will now have a new Participant Number (P-Number).
  4. Click on the Participant Number (P-Number) of the participant, you will be redirected to the Participant Details screen where you can confirm the participants institution.
If you have have the role of Scheme Manager or Proficiency Co-ordinator then you will be allowed to view Proficiency Ready Email details.
The process of viewing Proficiency Ready Email details is as follows:
  1. Navigate to Administration -> Proficiency Ready Emails.
  2. In the search criteria section, enter the Email Address or Proficiency you wish to view proficiency ready email details for.
  3. Click the Filter button.
  4. The resulting list of emails will only display Proficiency Ready emails matching your search criteria.
If you have have the role of Scheme Manager then you will be allowed to activate/deactivate proficiencies.
The process for activating/deactivating proficiencies is as follows:
  1. Navigate to Administration -> Proficiencies.
  2. On the Active column, select the Yes or No option to activate or deactivate the respective proficiency
  3. Click the Save button.
If you have have the role of Scheme Manager, Proficiency Co-ordinator or Primary/Secondary Participant then you will be allowed to replace primary or secondary participants.
The process for replacing primary or secondary participants is as follows:

Replace primary/secondary participants from the Institution Details screen (accessible to scheme managers and proficiency co-ordinators only)
  1. Navigate to Institutions and select the institution you would like to replace the primary/secondary participant of.
  2. Click the Replace primary/secondary participant button. From the dropdown list select the primary/secondary participant you would like to replace.
  3. Note: If there are no primary or secondary participants at the institution than you will receive an error message indicating this.
  4. Click the Replace button. On the next screens dropdown list select the participant you would like to replace the primary/secondary participant with.
  5. Click the Replace button to complete the primary/secondary participant replacement.

Add primary/secondary participants from the Add Participant screen (accessible to scheme managers, proficiency co-ordinators and primary/secondary participants)
  1. Navigate to Participants and click the Add button to be directed to the Add Participant screen.
  2. Fill in the participants details, select his/her institution and then select Yes for Add participant as primary/secondary participant of the institution.
  3. Click the Save button
  4. If the institution has a vacent primary/secondary participant position, the newly created participant will take that position and you will be redirected back to the Participants screen.
  5. If the institution already has a primary and secondary participant than you will be redirected to the Institution Details screen.
  6. On the Institution Details screen, follow the steps laid out above for Replace primary/secondary participants from the Institution Details screen
If you have have the role of Scheme Manager or Proficiency Co-ordinator then you will be allowed to create and assign hemocue instruments to institutions.
The process for creating and assiging hemocue instruments to institutions is as follows:

Creating a hemocue instrument
  1. Navigate to Administration -> Hemocue Instruments.
  2. Click the Add button, on the Hemocue Instrument screen enter the new hemocue instruments serial number, type and acquired date.
  3. Click the Save button.

Assigning a hemocue instrument
  1. Navigate to Administration -> Hemocue Instruments.
  2. Use the search criteria section to search for the hemocue instrument.
  3. Click on the serial number of hemocue instrument you wish to assign to an institution.
  4. If the hemocue instrument is not assigned to an institution you will see a Assign To Institution button, click it. If the hemocue instrument has already been assigned to another institution you will have to either unassign it from the institution or create a new hemocue instrument before you can assign the instrument to your desired institution.
  5. On the hemocue instrument assignment screen, select the institution you wish to assign the instrument to and click the Assign Intrument to Institution button.
If you have have the role of Scheme Manager or Proficiency Co-ordinator then you will be allowed to reset or delete proficiency sets.
The process for resetting or deleting proficiency sets is as follows:

Reset a proficiency set
  1. Navigate to Administration -> Proficiency Sets.
  2. Fill in the search criteria (the batch number must be entered without the proficiency type abbreviation e.g. 01/16 NOT BPT01/16) and click the Filter button.
  3. The search results will list all the proficiency sets that match your search criteria.
  4. Find the proficiency set you would like to reset and click the Reset button. Note: If results have not been captured for the set, the reset button will be disabled.

Delete a proficiency set
  1. Navigate to Administration -> Proficiency Sets.
  2. Fill in the search criteria (the batch number must be entered without the proficiency type abbreviation e.g. 01/16 NOT BPT01/16) and click the Filter button.
  3. The search results will list all the proficiency sets that match your search criteria.
  4. Find the proficiency set you would like to delete and click the Delete button. Note: If results have been captured for the set, the delete button will be disabled and you will have to reset the set before deleting it.
